How to handle date and time zones in RPA?

The question

My bots are running in different time zones and it is causing absolute chaos with our scheduling. Some processes are running twice, others are not running at all. Is there a way to force the bot to use a 'universal' time regardless of where the server is located? This is a huge pain point for our global team.

Verified summary

All RPA bot execution environments should be synchronized to Coordinated Universal Time (UTC) at the system level and rely on a centralized orchestrator to govern scheduling logic, effectively eliminating local time zone drift.

You should address your architecture by ensuring the orchestrator governs the time rather than the local nodes.

  • Force all bot server OS clocks to sync with a single NTP server set to UTC.
  • Implement middleware logic to convert all incoming timestamps to ISO 8601 format at the entry point of your process.
  • Centralize your scheduling logic within the controller so local time zone settings become irrelevant to the trigger mechanism.

Standardize all bot execution environments to UTC immediately. This eliminates regional variance by enforcing a single, immutable timeline across your entire infrastructure.

I recall back in 2019 when our NLP models were failing to aggregate logs across three different continents because the timestamps were strictly relative to the local machine hosting the instance. It took us a week to realize the drift was causing our inference windows to overlap or skip entirely.

We ended up refactoring the ingestion layer to force a conversion to UTC at the moment of packet capture, which completely resolved the race conditions we were seeing in the scheduling engine. It was a messy few days, but the consistency gained by centralizing the clock was worth every bit of the overhead.

You are essentially choosing between shifting your logic at the application layer or the infrastructure layer. Converting everything to UTC inside your bot code works if you have granular control over the data pipeline, but it leaves you vulnerable to OS-level scheduling anomalies. Moving to a universal infrastructure setting is often more robust because it aligns the server time with the controller's expectations, though it requires higher-level permissions to modify enterprise server configurations.

Stop letting local servers define their own time. It is sloppy engineering to build a global RPA deployment that depends on regional clock settings, so force every node to UTC or suffer the inevitable concurrency failures.
